Chamber Signatories

If you the Chamber’s Authorised Officer, this section allows you to view and invite, edit information, and change the status of additional signatories at your chamber. You can also change who the Authorised Officer is within your chamber.

Invite Additional Signatories

1. To invite an additional signatory, go to Chamber Management menu and select Signatories. The Signatories Details window opens up.

2. Enter their first, last names and email address. Click Invite. They will then receive the invitation via email.They have the option of accepting or rejecting the invitation. When they click on the link in the email to accept the invitation, they will be directed to the eCertify Registration page to confirm their details and enter a password. You can review your current pending invitations in the Current Active Invitations Section.

3. You can resend an invitation by clicking on the envelope icon. You can cancel an invitation by clicking on the user icon.

4. This is where you can nominate an alternative Authorised Officer. The Authorising Officer is the only person with the rights to assign the Authorised Officer status to another signatory.


Complete the Invitation to become an Additional Signatory

When the recipient of the email invitation clicks the link to accept the invitation, they will be directed to the following registration page to confirm their details.

The invited signatory needs to: enter and confirm the password they would like to use; choose a security question and provide the answer; enter their Title, Position and Phone Number; and review the Terms and Conditions they are agreeing to; and if agreeable, click “I accept. Register me.” button. They will be able to log into eCertify.

Reject an Invitation to become an Additional Signatory

When the recipient of the invitation email clicks the link to reject the invitation, they will be directed to the Reject Invitation page. They will need to enter the reason of rejection and confirm that they wish to reject the invitation by clicking the Reject button. When they click the Reject button, the Authorised Officer will receive an email advising them that they have rejected the invitation.


Review Suspended and Rejected Invitations

You can review which invitations have been rejected or suspended by clicking the Status dropdown in the Suspended Status section.

Lock a Signatory from the System

If a signatory leaves the chamber or they are on leave for a period of time you may lock them from the system so that they are unable to login.

Step 1. Click the Lock hyperlink next to the signatory you wish to lock from the system.

Step 2. Select OK when prompted to ensure that you wish to go ahead with this step.

Step 3. A confirmation message is displayed to confirm that the signatory has been locked and the status has also changed to locked.


Unlock a Signatory so they can login again

You unlock a signatory who had been locked.

Step 1. Click the Unlock hyperlink next to the signatory you wish to unlock from the system.

Step 2. Select OK when prompted to ensure that you wish to go ahead with this step.

Step 3. A confirmation message is displayed to confirm that the signatory has been unlocked and the status has also changed to enabled.


Make an Additional Signatory the Authorised Officer

If required you may transfer the Authorised Officer function from the existing Authorised Officer to an existing Additional Signatory.

Step 1. Click the Make Authorised Officer hyperlink next to the signatory you wish to make the new Authorised Officer.

Step 2. Select OK when prompted to ensure that you wish to go ahead with this step.

As you are no longer the Authorised Officer, you will no longer be able to accesss the Signatories page and it will be removed from your menu.


Reset a Signatory’s Password or Edit their Details

As the Authorised Officer you may reset a signatory’s password or edit their details.

Step 1. Click the Edit hyperlink next to the signatory you wish to edit the details for.

Step 2. The User Details screen is displayed. If you are changing their details make the necessary changes.If you wish to reset their password, enter the new password in the new password field, confirm it in the confirm password field and click the save button.

Step 3. Click Save.


Update a Signatory’s signature

Step 1. If you wish to generate a new electronic signature based on your first and last names tick the 'Create signature from first and last name' checkbox. If you wish to upload your true signature, click Browse to locate the file to be uploaded. You can click the 'How do I upload?' hyperlink for instructions on how to upload your signature.

Step 2. Click Save in the top right hand corner of the screen. Your new signature will be created. eCertify will also create it as a stamp and apply it to each layout.

NOTE:- Please see the Stamping Layouts section on how to apply your signature 'stamp' to a certificate of origin layout.
