Exporter - Freight Forwarder Relationships

eCertify allows exporters and freight forwarders to manage their relationship for processing of electronic trade documentation using eCertify. To do this, exporters are presented with a page named Freight Forwarders; while Freight Forwarders are presented with a page named Exporters.

EXPORTER USING A FREIGHT FORWARDER

If you are an exporter using a Freight Forwarder to process trade documents on your company's behalf, this is where you can manage that relationship.
From the Menu, select Maintenance – Freight Forwarders. Dependent on your company's current status with the Chamber and eCertify, you will need to approve the relationship according to one of the following processes.

Accept the Freight Forwarder Invitation

You will receive an email invitation from the Freight Forwarder to acknowledge and accept the relationship. Once you accept the invitation, your Chamber will be notified they can approve the relationship and process Certificates of Origin submitted by the Freight Forwarder on your company's behalf.

If your company is already registered with the nominated Chamber:

1. Click on the accept link in the email received.
2. If the contact is not currently logged into eCertify, the login page for the relevant Chamber will be displayed and the contact will need to login OR if they are currently logged in they will be taken to the Freight Forwarders page with a message to advise that they have accepted the invitation.

3.An email will then be sent to the chamber to advise there is a new Pending Freight Forwarder Relationship.

If your company is not yet registered with the nominated Chamber but is registered with eCertify

1. Click on the accept link in the email received.

2. If the contact is not currently logged into eCertify the login page for the relevant Chamber will be displayed and the contact will need to login OR if they are currently logged in they will be taken to the My Details page. This also occurs if the user needed to login first.

Note: A new registration request email is then sent to the Chamber to advise there is a pending registration. As part of approving the registration they will be required to approve/reject the Freight Forwarder Relationship.

Exporter not already registered with eCertify

1. Click on the accept link in the email received.

2. The registration page for the relevant Chamber will be displayed which they will need to complete to first register with the Chamber.

Once they have completed the registration form, this will send an email to the Chamber to advise there is a new registration request. As part of approving this request they will also be required to accept/reject the Freight Forwarder Relationship.

Provided the recipient of the invitation has not yet accepted the invitation (i.e. in Pending Exporter Approval status) you may cancel the invitation by clicking on the icon next to the relevant invitation. Click OK to confirm the cancellation of the invitation.

Suspending a Freight Forwarder Relationship

If you no longer wish to act on behalf of an Exporter as their Freight Forwarder you can suspend the relationship between the two companies.
1. Click on the highlighted icon next to the Exporter in the Approval Exporters list you wish to suspend.
2. Click OK to suspend this exporter or cancel if not.

FROM FREIGHT FORWARDER’S PERSPECTIVE

If you are a Freight Forwarder approved to use eCertify, and will be processing trade documents on an exporter’s behalf, from the Menu Select Maintenance – Exporters

INVITING AN EXPORTER TO ALLOW A FREIGHT FORWARDER TO ACT ON THEIR BEHALF

To invite an exporter to acknowledge and accept you as their Freight Forwarder you must be logged into eCertify as the Authorised Officer of the Chamber you wish to submit documentation to.

1. Select the Chamber that you intend to process with on behalf of the exporter you are inviting. Note: You must be the Authorised Officer for that Chamber for it to appear in the list.
1. Enter the first name, last name and email address of the contact person with the exporter you wish to invite.
2. Click Invite Exporter.

Note: eCertify will check if this email address is already registered. If so it will check it has the relevant permissions to accept the invitation. If it doesn’t an error message will be displayed at the top of the screen.
A record of the invitation will also be placed in the Pending Exporters section.

Note: As the invitation moves through the various approval processes the status will be updated with the current status of the invitation. This will then send an email to the contact with details on how to accept the invitation. For example, in the example below Sue has now accepted the invitation and it is pending approval from the chamber.
Once the relationship has been accepted by both the Exporter and the Chamber they will then appear in the Approved Exporters section.
